Shop Administrator
November 13, 2020Shop Administrator The Shop Administrator supports the Shop Department by organizing and communicating project deadlines, inputting all work orders into the internal database and communicating with other departments.
The Shop Administrator will work in a fast-paced but casual environment and play a supporting role in ensuring customer satisfaction through working with the Shop Foreman and completing necessary data entry.
Key responsibilities:
– Assist and support the Shop Manager and Shop Foreman with Administrative type tasks
– Process and manage e-mails and phone calls in an efficient and timely manner
– Monitor and follow up on projects with the Shop Foreman to ensure they are completed on time
– Necessary data entry
- Ensure information is complete and clear for the Cabinet Makers and Finishers and the Purchaser has approved
- Communicate with all necessary staff to finalize any details that may be needed to complete each project
- Enter and scan completed work into database
- Inform Shop Foreman of any issues or concerns noted on Inspection Summaries and note these issues in database
- Scan complex paperwork into the Documents folder
- Compile monthly safety stats for Shop
– Distribute completed paperwork to corresponding department
– Review any concerns or ideas with Shop Manager
– Look after and update Shop Production Schedule
– Work closely with Shop Foreman in distributing shop work orders to cabinet makers
Knowledge and skills required:
– Excellent computer skills with Microsoft Outlook and Excel
– Good and effective written and verbal communication skills along with good interpersonal skills
– Strong data entry skills
– Pleasant telephone manner
– Perform consistently under pressure and handle pressure/disappointment professionally
– Knowledgeable in the fundamentals of kitchen cabinet fabrication
– Consistently follow up on items/tasks
– Must be able to function with interruptions and deadlines
– Strong organizational skills with ability to handle multiple priorities effectively
– Ability to be diplomatic when dealing with clients and staff – Ability to work well with numbers
– Must be focused and attentive to details
– Interest in keeping up with ever-changing technology
